| Frequently Asked Questions |
Why do I need to bother with the Effort Certification Form?
This form was designed to satisfy the requirements of the university and federal agencies to ensure proper allocation of time for people who are paid from cost sharing and/or sponsored funds. Each person paid from one or both of these sources is required to sign the Effort Certification Form thus "certifying" that his/her time was accurately reported.
What is the difference between the Activity Reporting System and the Effort Certification Form?
The Activity Reporting System (ARS) is used to collect information from a department regarding time allocated to activities for the funds used to pay the person. The Effort Certification Form is generated from the data entered into the ARS and is required to be signed by people paid by sponsored funds or have cost sharing.
I have finished reporting effort for a person in my department and tried to run the report for the Effort Certification Form. I get an error saying that activities are not all complete for this person. What is the problem?
The person probably has an appointment in another department. The Effort Certification Form cannot be generated until all effort is complete for a person. You can see what other appointments the person has by running the report called All Appointments For a Person.
When do I need to print the Effort Certification Form and what do I do with it?
You will receive notification from DRIA on when the signed Effort Certification Forms are due. In the past the form was due 2 times during the year and hard copies of the forms required by your department were distributed via campus mail.
Nobody in my department is paid from a sponsored fund. Do I need to distribute any Effort Certification Forms?
If a person is not paid from a sponsored fund or does not have cost sharing, then you do not need to have the person sign the Effort Certification Form. However, you may generate the Effort Certification Form at any time through the Activity Reporting System.
An Employee in my department is paid from sponsored funds from another department but not mine. Why did I receive the Effort Certification Form for this person to sign?
Your department is the employee's "home" department. This designation is determined by several factors including FTE and salary amounts based on individual appointments.
